Data Protection Notice

About this notice

This notice explains how the Public Association “Order of Free Masons of Kazakhstan” (ОО «Орден Вольных Каменщиков Казахстана»), the legal entity of the Grand Lodge of Kazakhstan, processes personal data. The Grand Lodge processes personal data in accordance with the Law of the Republic of Kazakhstan on Personal Data and Their Protection.

The Office of the Grand Secretary answers every question about personal data. You can write to it at grandsecretary@masons.kz.

I. Applying to join

A man who asks to join a Lodge of this obedience gives the Grand Lodge his name, age, e-mail address, city and the information he chooses to provide about himself. The Grand Lodge uses that information to consider his petition, to arrange his meetings with the Lodge and to take its decision. It does not pass the information to third parties.

II. Use of Brethren’s data by the Grand Lodge and its Lodges

The Grand Lodge and its constituent Lodges keep the names, contact details, Masonic records and offices of their members. They use that data to administer membership, to keep the registers that the Constitution requires and to communicate with the Brethren.

III. Use of Brethren’s data for events

When a Brother attends a Communication, a meeting or another event of the Grand Lodge, the Grand Lodge uses his name and contact details to organise his attendance. Photographs taken at public events may be published on this website and in the public account of the Grand Lodge.

IV. Use of Brethren’s data for charity

When a Brother or his family receives help through the Grand Almoner, the Grand Lodge uses the information needed to give that help and keeps it in confidence.

V. Criminal records

The Constitution requires that a candidate be free of any criminal record incompatible with the moral standards of the Craft. The Grand Lodge may therefore ask a candidate about his criminal record. It uses that information only to consider his petition.

VI. Archiving and historical research

The Grand Archivist keeps the historical records of the Grand Lodge. Records that contain personal data are kept for the purposes of archiving in the public interest and of historical research, and are protected accordingly.

VII. This website

This website collects no personal data by itself. When you write to the Grand Lodge by e-mail, the Grand Lodge uses your message and your address to answer you.

VIII. Other recognised Grand Lodges

When a Brother visits a Lodge abroad, or a Brother from abroad visits a Lodge of this obedience, the Grand Lodges concerned may confirm to each other that the visitor is a member in good standing. They exchange only the information needed for that confirmation.

IX. Other Masonic bodies

The Grand Lodge does not share the data of its members with other Masonic bodies without the consent of the Brother concerned.

X. Other uses

The Grand Lodge discloses personal data to public authorities only when the law requires it. Every person whose data the Grand Lodge holds has the rights that the Law on Personal Data and Their Protection grants, including the right to know what data is held, to have it corrected and to withdraw consent.

XI. Definitions

In this notice, “Grand Lodge” means the Grand Lodge of Kazakhstan and the legal entity that represents it; “Lodge” means a constituent Lodge of its obedience; “Brother” means a member of a Lodge; and “personal data” has the meaning that the Law on Personal Data and Their Protection gives it.

Appendix: how long data is kept

Data of an applicant or of someone who has expressed interest in joining

The Grand Lodge keeps it for XX after the decision on the petition, and then deletes it.

Data of a Freemason

The Grand Lodge keeps it for as long as the Brother is a member, and for XX afterwards.

Data of someone who has been expelled or has resigned

The Grand Lodge keeps the record of membership for XX for archiving purposes, and deletes the remaining data after XX.
